This notice explains how the Asia-Pacific Association of Fertility Preservation Inc. handles information submitted through this website.

Information we collect

We collect information you choose to provide when you apply for membership, contact the Secretariat, subscribe for updates, register for an event, or maintain a member profile. This may include your name, email address, professional title, institution, location, areas of interest, biography, membership history and correspondence.

The website also receives limited technical information needed to operate securely, such as request logs, browser information and sign-in security records. We do not currently collect payment-card information through this website.

How we use information

We use personal information to review membership applications, administer member accounts and membership records, provide member services, respond to enquiries, manage events, maintain association records, protect the website, send essential membership communications, and provide association news and event updates accepted during membership application or newsletter signup.

A professional profile appears in the signed-in member directory only when the member has actively enabled directory visibility. Members can withdraw that permission in the member portal.

Sharing and service providers

Access is limited to authorized APAFP officers, Secretariat staff and service providers who need the information to operate the association or website. We may also disclose information when required by law or when necessary to protect the association, its members or the public.

We do not sell personal information. Website hosting, database, file-storage and email providers may process limited information on APAFP's behalf under their service terms.

Retention and security

We keep information for as long as reasonably needed for the purpose for which it was collected, for association record-keeping, or to meet legal and governance obligations. Unsuccessful applications and routine enquiries may be deleted when they are no longer needed.

We use access controls, encrypted connections, protected session cookies and administrative audit records. No online system can guarantee absolute security, so please avoid submitting information that is not needed for your request.

Your choices

Members can review and update most profile information, change their password, and control member-directory visibility through the member portal. You may ask the Secretariat to correct your account email, provide information about your records, or consider a deletion request where retention is not otherwise required.

Members and newsletter subscribers may unsubscribe from association news and promotional updates at any time without affecting membership. Essential messages about an application, account, membership or event are administrative communications and will still be sent when needed.

Cookies

The public website does not use advertising cookies. When a member or administrator signs in, an essential encrypted session cookie keeps the account signed in and protects restricted pages. Signing out removes that session.

Changes to this notice

We may update this notice when website services or association practices change. The current version will remain available on this page.
